DATA PROCESSING

  • The Limpopo Data Processor will record the results of swimmers.
  • If you would like to swim a gala outside the Province, all enquiries to go out of Data Processor office. Clubs/Individuals are not permitted to make enquiries, entries, changes themselves. Individual’s to work through their Clubs
  • All gala inquiries to be handled via Data Processor – that is – should you want to swim a gala outside the province, inquiry to go out via the Data Processor office.
  • TM.zip file Entries to be submitted via Club gala secretary to Data Processor accompanied by list of officials – 1 for every 5 swimmers. Going forward, attach entries in PDF format so that if there is any confusion it can be solved with this. Other entries to be completed on Entry form and SUBMITED on-line. 1 parent to submit name to officiate
  • Clubs to have imported latest Athlete Roster from Data Processor and only work with this or email/fax entries through to DP accompanied by 1 official for 5 swimmers – no entries will be accepted unless officials accompany entries. Should official not report on day of gala – Club has to provide a replacement before their swimmers are permitted to swim session/gala
  • Age Group Swimmers entries will not be processed unless the swimmer has been registered with LPA at least 14 days prior to the Gala
  • Incorrect and/or incomplete entries may be refused, or not seeded, or the result discarded – will be communicated
  • Note the closing date for entries. Late entries (if accepted) will not be seeded and may be subject to an additional late entry fee of R50 – for Age Group and R200 plus event fee for LP Champs
  • Data Processing Office is out of bounds – No parents/swimmers/teachers allowed in the Data Processing office – all appeals and scratches to be done through Club Team Manager. Parents interfering with processing could lead to the disqualification of swimmer or lead to a disciplinary complaint
  • Any results of galas swum outside the Limpopo Region will only be collated by the Data Processor only if a clearance letter has been issued
  • Scratching’s must be done by the cut-off date/time or on the day of the gala accompanied by the R30 levy. Scratching to be done 30 minutes before a gala on official Scratch form.
  • All protests must be lodged in writing to the gala/deck manager together with the prescribed R100.00 deposit (refer to Code of Conduct: Procedures for Complaints and Appeal later discussed)
  • No-Show fines to be implemented and to be paid before child entered in next event/gala – proof of payment to be forwarded to Data Processor with entries (R50/event)
  • No parents permitted on pool-deck unless officiating
  • No officiating official permitted to chear for swimmers in pool
  • No smoking in swimming pool area

  • Clearance has to be obtained from Data Processor and will only be given if there isn’t a gala in Limpopo at the same time

Limpopo Rules & Regulations

  • 8/U only swim 50 and 100m events barring 50m Fly. They can swim 50 fly in 10/U category – and may swim 4 events per age group (no 100 Fly)
  • All other swimmers limited to 5 events per gala
  • Swimmers required to swim 2 Age Groups & Champs for qualification for entry to National Gala’s or be eligible for Provincial selection
  • Long distance events 200 Fly, 400IM, 800m, 1500m will be combined races (i.e. boys/girls to swim together)
  • Clearance to swim gala’s in other provinces has to be provided
  • Entries and Clearance to be done by Provincial Data Processor but will not be granted if there is a gala in LP on the same date
  • One official for every 5 swimmers to officiate at a LP Gala
  • Parents & swimmers to abide by LP/SSA Constitution at all meets
  • No smoking in pool area
  • No parents, swimmers (unless officiating or reporting for race) are permitted on pooldeck
  • Officials on pooldeck not allowed to cheer for swimmers in water
  • Officials to wear prescribed white and blue when officiating
  • Data Processor office OUT OF BOUNDS TO INDIVDUALS – only Team Managers permitted to scratch, appeal, make changes
